Important information for all incentive group tour organisers

Are you a travel agency organising a group incentive tour for your corporate client(s)? That usualy requires thorough preparation. In the below article we would like to give you guidance on how to proceed if, based on jurisdiction, the travellers need to apply via a Hungarian foreign mission for a Schengen visa.

1. What does the travel agency need to do in advance?

You need to gather the below information and submit it to the relevant Hungarian mission within India:

  • Organising Company details (sent via email)

    • Corporate cover letter including the names of the participant travellers in alphabetical order
    • Detailed itinerary
    • Bank statement and bank balance confirmation letter
    • Incorporation letter
    • Income tax return for the last 3 years 
  • Participant travellers (hard copy in the application documents)

    • Day-by-day itinerary
    • Corporate cover letter including the names of the participant travellers in alphabetical order
    • Passport details and copies  (Please note, all travellers’ passports must be valid for 3 months after the return date AND must contain at least two blank pages)
    • Duly filled and signed visa application form
    • 1 passport sized photograph
    • Travel insurance
    • Flight ticket confirmation
    • Income tax return for the last 3 years
    • Bank statement for last 3 months
    • Hotel reservation confirmation including the names of the participant travellers in alphabetical order
    • Salary slip (from the preceeding 3 months)
    • Proof of employment

 

2. Which Hungarian mission shall the travel agency address?

  • Indian nationals and/or residents falling under the consular district of the Consulate General of Hungary in Mumbai:

    • States of Gujarat, Maharashtra, Goa, Kerala, Lakswadeep, Tamil Nadu, Andhra Pradesh, Karnataka

    • Union Territories of Puducherry, Daman and Diu, Dadra and Nagar Haveli

  • Indian nationals and/or residents falling under the consular district of the Embassy of Hungary in New Delhi

    • Rajasthan, Madhya Pradesh, Uttar Pradesh, Odisha, Chhattisgarh, Bihar, West-Bengal, Arunachal Pradesh, Jharkhand, Assam, Himachal Pradesh, Uttarakhand, Punjab, Haryana, Meghalaya, Manipur, Mizoram, Nagaland, Tripura, Sikkim
    • Union territories of Delhi, Andaman and Nicobar Islands, Jammu and Kashmir, Chandigarh, Ladakh

4. Can this be arranged via the Honorary Consuls of Hungary in India?

No. The travel agency must conact either the Consulate General of Hungary in Mumbai or the Embassy of Hungary in New Delhi
